Encanta Ltd, registered in England and Wales and trading as Encanta Digital("we", "us", or "our"), is the controller responsible for personal data collected through encanta.digital, our dental hub at dentistry.encanta.digital, and our enquiry process. Dental hub demonstration

The dental hub includes Example Dental, a fictional practice used to demonstrate website and enquiry design. It does not provide dental care or accept real patient enquiries. Please use fictional details in the demo and do not enter personal or health information.

Demo form entries and the simulated practice response stay in memory in your browser. The hub does not send, save, log, or include those entries in URLs, analytics, or error reports. Resetting the demo or reloading the page clears them. Motion choices and any referral reference also stay in browser memory; they are not saved in cookies or browser storage.

Hub analytics is off. Vercel hosts the hub and may process ordinary technical request and security information, such as IP addresses and requested URLs, to deliver and protect it. This is separate from the simulated enquiry and does not receive its form entries.

To discuss real business work, the hub links to our enquiry form on encanta.digital. The link may carry an allowlisted source, dental sector, support option and opaque referral reference; it never includes demo form entries. The main-site form sends the business details you submit to our Notion contact records so we can respond. The information, purposes, legal bases, providers, retention criteria and rights described below apply to those real enquiries.

1. Information we collect

We collect information you provide directly through the enquiry form: your name, your email address, a description of what you would like help with and, where you choose to share them, a website or product link, a relevant deadline and the type of support you are interested in. We also record the page an enquiry came from and any campaign parameters in the link you followed. We no longer ask for revenue or funding information.

We also collect limited technical and usage information, such as page interactions, analytics events where you have accepted analytics cookies, cookie preferences, error diagnostics, and security logs.

2. How we use your information

  • To respond to enquiries about projects, ongoing support, diagnostics and general questions.
  • To confirm that an enquiry has been received.
  • To prepare and deliver services where you become a client.
  • To send insight or resource emails where you have opted in.
  • To improve the website, understand aggregate usage, and diagnose technical issues.
  • To protect the website from spam, abuse, and unauthorised access.

3. Analytics

We use Google Analytics 4 only where analytics consent has been granted. Analytics helps us understand aggregate website behaviour such as page views, traffic source, device type, and interaction events. We do not intentionally send names, email addresses, or free-text form responses to Google Analytics.

You can reject or change analytics consent from the cookie banner or the cookie settings link in the footer.

4. Legal basis for processing

Under UK data protection law, we rely on the following legal bases:

  • Consent: optional analytics cookies and email updates where you have opted in.
  • Legitimate interests: responding to enquiries, improving the website, protecting security, and understanding business performance.
  • Contract: preparing, managing, and delivering agreed client work.
  • Legal obligation: accounting, tax, compliance, and record-keeping requirements where they apply.

5. Service providers

We use trusted providers to run the website and handle enquiries, including website hosting, analytics, error monitoring, contact storage, email, and scheduling tools. These may include Vercel, Google Analytics, Sentry, Notion, and scheduling or email providers used to respond to your enquiry.

Some providers may process data outside the UK or European Economic Area. Where this happens, we rely on the safeguards made available by those providers, such as appropriate contractual terms and transfer mechanisms.

6. Your data rights

You have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data where applicable.
  • Object to processing of your data.
  • Withdraw consent at any time.
  • Ask for processing to be restricted or for a copy of your data where applicable.

You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk.

7. Data retention

We keep enquiry records for as long as needed to respond, manage the relationship, and maintain reasonable business records. Client records are kept for the period required for delivery, accounting, tax, and legal purposes. Analytics data is normally retained for 14 months. Email marketing records are kept until you unsubscribe or ask us to remove them, subject to suppression-list requirements.
